Introduction

This event is held in the grounds of Scone Palace on the other side of the River from Perth. The Scone Game Fair generally attracts in the region of 30,000+ visitors each year. 3D2D’s marquees are now an established attraction at the Game Fair and this year we have a fabulous new location sited roughly centrally between the Main Entrance, Main Ring and the Food Marquee. The marquee is a clearspan aluminium framed structure accommodating up to 80 exhibitors. The wooden flooring, overhead fans, ample entrances and window walls help to create a great atmosphere.

To help conserve the Ancient Woodland that the Game Fair is held within, a new layout for the event has been designed by the Organisers, to ensure the ongoing health of these historic trees. We’re sure this will be a success with the public too.

Stall Options

3D2D offers “open-space” stalls and “screened” stalls to enable stallholders to display their work to best effect. All of your display, stock, storage, seating, browsers etc must fit inside your booked stall space which is marked on the floor. The aisles have to be certain widths to ensure safe passage and it is not acceptable to spread into them. We will remove anything encroaching into the aisles.

FRONTAGE: decide the width in 1ft increments.

DEPTH: 5ft depth or 6.5ft depth (1.5m or 2.0m).

POSITION: mid-row or corner site.

STALL TYPE: “open space” stall or “screened” stall.

OPEN SPACE STALLS

Open space stalls will not be available in the central “islands” in the marquees - they will only be available around the edges of the marquee. This type of stall will, however, always have the marquee’s PVC walls as a backdrop. Your space will be marked out by tape on the floorboards. Open space is good for those who have their own stand system and for those who want to spend less and primarily base their display on trestle tables.

Access - if you intend, for example, to place a 6ft trestle table along the front of your space, you must book up enough frontage (width) to allow you to get round behind it! 1ft of extra frontage will be enough - you’d therefore need to be prepared to pay for 7ft of frontage in this case.

Don’t forget you are booking a ‘space’ - you should imagine the possibility that your neighbours on either side might well have their own display systems.

How you arrange your space is up to you - the only rule is that you book enough space for you, your stock, your props, your table/s and seating - and enough for access.

Corner sites - They arguably mean your stall is more prominent as the public can access it from two sides and you can easily get out from behind your table.

SCREENED STALLS

Screened stalls will primarily be available only in the central “islands” of the marquee. These islands are double-sided - they have stalls on both sides. There is a back wall which runs the length of the island - it is known as the “spine” wall. Your stall will also have side walls, once again shared with neighbours. Side walls are called “rib” walls - and equal the depth of your stall. You decide on the area of your stall by choosing the depth and the amount of frontage (width) in 1ft increments. You can also opt for a mid-row or corner site position.

Mid-row Positions - you will have neighbours on both sides, therefore you will have a rib wall on both sides of your stall.

Corner site Positions - you will have a neighbour on only one side, therefore you will have the rib wall on only one side of your stall.

“Half Corner sites” - rib walls are all made of two smaller panels in 3D2D’s screening system. Therefore on your corner side, you can choose to retain one of those panels and omit the other. You will in effect have a full rib wall on one side of your stall and a half of a rib wall on the other. Half corners are only possible with the screened stall option. Half-corners are also good for some displays and for security reasons.

3D2D’s Screen System - is made of 25mm chrome tube and 6mm plywood infill panels, 2.1m high. You can’t screw into the plywood, but you can use 6mm staples to fix backing cloths or lining paper in position. The chrome tube is however strong enough to support the use of S-hooks for hanging displays. You should not leave the raw plywood exposed.

Please note: all prices are inclusive of VAT at 20%

Minimum / Maximum Frontage

There is a minimum frontage of 4ft for all types and depths of stall - except for screened corner stalls (5ft or 6.5ft depth) where the minimum frontage is 3ft. There is a maximum frontage of 14ft for all types of stalls.

Payment

Once you have been allocated a space, you will receive confirmation in the form of two invoices. 20% of the total fee is now due to be paid via BACS or if you have sent cheques, the first of these will be cashed. Two further payments are required via BACS or post-dated cheques. These payments cover the remainder of your stall fee in two equal instalments. (Payment due dates are: 22 March and 22 May)

Furniture & Fittings

Tables are £3 each, chairs are free and available to both screened stalls and open spaces. You are asked to indicate your needs on the Application Form. The screening system does not come equipped with shelves. If you don’t order a table on the application, there won’t be extra for you to get one on the day!

Overnight Security/Camping

3D2D personnel will be on-site throughout the night, however, please note 3D2D cannot accept responsibility for any work left in the marquee overnight.

Overnight camping: This is possible by booking through the Game Fair in their on-site campsite, and there is a huge campsite one mile away at Stormontfield.

Setting Up & Opening Hours

Set up: Thursday 29 Jun 2.00pm to 8.00pm and Friday 30 June 7.00am to 8.00am. Your vehicle must be removed from the vicinity of the marquee immediately after unloading, and parked in the Trader’s Car Park.

Open: Friday to Sunday 9.00am to 6.00pm

Re-stocking of stalls will be possible each morning and may be possible in the evening. Details will have been finalised by the time you receive entrance and car park passes.

Electric Power

One socket per exhibitor supplied free of charge with a power allowance of 25w per foot of frontage.

Confirmations and Cancellations

When you complete your application form online you will see a note at the end saying you have submitted the application. You will also receive a copy in your email inbox - as long as you put a valid email address in the box.

When your application has been processed, you will be sent two invoices detailing what space you’ve been allocated and the exact cost. The deposit invoice is due on receipt. Please note the dates for the two future payments and ensure they are paid promptly.

Note:  With your invoice you will receive a link asking you to register with the Scone Game Fair. This is compulsory and affects the number of entrance tickets and car passes you receive, as well as having links for booking camping etc.

Full refund if you cancel your booking up to six weeks before the event - less a £50 cancellation fee.
